COVID 19 SAFETY PLAN
• Everyone must stay home is you feel sick or show symptoms of COVID-19 (including staff members)
• Limited Capacity
• Screening questions and waiver upon entry
• CLEANING STAFF ON SITE AT ALL TIMES DURING OPERATIONAL HOURS
• Additional deep cleaning after hours
• Sanitizing sprayers used on more frequently touched surfaces
• One way traffic throughout facility
• Enhanced signage
• All members receive their own sanitation spray bottle upon entry and return when exiting
• Sanitizing wipes, hand sanitizing stations, and paper towel dispensers throughout facility
• Machine spacing to enhance social distancing
• Barriers at front desk
• Separate entrance and exit
• Due to the nature of our facility with medical practitioners in the front hallway rooms – masks are recommended upon entry into the facility but not mandatory
• All members receive their own sanitation spray bottle and individual use towel upon entry and return when exiting
1. ASSESS WORKPLACE RISKS
• We have identified areas where people gather, surfaces that people touch often, and where job tasks where workers are close to one another or members of the public
i. Break Room:
• Only 3 staff members inside at a time (POSTED ON DOOR)
• Staff must keep distance while in staff room
• Sanitize microwave, fridge, coffee maker, and sink handles after each use
ii. Front desk/reception:
• Remove seating areas to avoid congregating
• Maximum 3 PATRONS inside receptions at a time
• Sanitize debit machine regularly
• Cover touch screen/debit machine with saran wrap to enable constant sanitizing
• Keyboard and mouse sanitized regularly
• Glass barriers at front desk to minimize contact and for when social distancing cannot be maintained – i.e enrolling in a new membership
a. Barriers will be cleaned regularly
iii. Door knobs
• Doors will remain open where feasible to provide less contact points
• Front door and Exit door will only be opened by Staff
• Others will be cleaned regularly
iv. Sanitizing spray bottles
• All members/drop ins will be provided their own sanitizing spray bottle upon entry
• All members/drop-ins will return sanitizing spray bottles to exit door where it will be sanitized by staff

All patrons will be provided a disinfectant in a spray bottle and cloth towel for disinfecting equipment and surfaces
Disinfecting spray bottles and individual use cloth towels will be provided to every member and drop in to minimize contact points presented by communal spray bottles. We will also have Disinfectant wipes available for use. Members will be required to wipe down the equipment with their cloth towel & disinfectant before and after use. These towels will be discarded at the exit in a designated bin and laundered between all uses. The spray bottles are also disinfected before being provided to the next member
2. IMPLEMENT PROTOCOLS TO REDUCE RISK
Following guidelines/recommendations posted by WorksafeBC, Fraser Health, and Vancouver Coastal Health.
FIRST LEVEL PROTECTION: LIMIT CAPACITY AND ENSURE PHYSICAL DISTANCING
We will always have multiple staff members present at different locations in the facility (not congregating).
Front entry control – asking screening questions and ensuring all members in line are 2 meters apart. One person enters at a time (two if within same household). Once those persons have left the front desk down hallway– the next person will be permitted inside.
One-way traffic – Members will be required to follow all signage and arrows throughout facility. One-way traffic is imposed to ensure maximum social distancing is possible
Separate exit – bottom of stairs in main area near cardio equipment. This will be monitored by a staff member and all members must leave through this door. Capacity will be maintained via counting app, Spray bottle count, and Walkie talkies (Entry and Exit door staff, Front desk, and cleaning/attending staff in facility will all have one)
Temporary shorter hours during initial opening phase. Will be increased in increments pending all members are following protocols and social distancing guidelines.
35,000 square foot facility –3,251 square meters
Capacity is limited to 130 people including all staff, trainers, Strength through motion practitioners, Fresh groove dancers/instructors, Playmakers coaches and athletes, members, and drop ins. This provides approx 25 square meters of social distancing/person.
We have signs outside and on our windows upon entry stating the 2 metre distancing rules as well as a sign with all symptoms listed and stating they must not enter should they have any symptoms. Members will also be asked the screening questions before they can enter the facility.
Signs throughout the facility:
- 2 metre distancing in all areas of facility and change rooms
- Hand washing signs in change-rooms
- Must clean all equipment before and after each use signs in all areas of facility
- Washing hands and sanitizing regularly signs in all areas of facility and change rooms
Screening arriving patrons
Patrons will be asked the following questions when they arrive:
Do you have any of the following symptoms: fever, chills, cough, shortness of breath, sore throat and painful swallowing, stuffy or runny nose, loss of sense of smell, headache, muscle aches, fatigue or loss of appetite.
Are you, or anyone you are living with, either sick, self-isolating, or quarantined?
Any patron who answers ‘yes’ to the questions above, should not be permitted to enter the facility. It is recommended that anyone with symptoms of COVID-19 call 8-1-1 for guidance.
These questions will be asked to all members/drop-ins before entering and all Members/drop-ins will also be required to sign a waiver acknowledging their answer to these questions and agreeing to all RSF’s protocols and signage throughout facility.
Managing customer entry points
Markers will be placed outside for queues to ensure 2 metre distance while waiting to enter. Separate entrance and exit managed by staff at all times. There will be one-way traffic throughout facility which will be enforced by staff, signage, and arrows. NO ONE will be authorized to walk back up to the front desk and must use designated separate exit.
Requiring staff to self-monitor for symptoms of COVID-19
Staff who have symptoms of the illness must not work and need to self-isolate and contact their care provider. All staff will be screened prior to every shift and must sign a document stating they have NO fever, chills, cough, shortness of breath, sore throat and painful swallowing, stuffy or runny nose, loss of sense of smell, headache, muscle aches, fatigue or loss of appetite. NOR DO THEY or anyone you are living with, either sick, self-isolating, or quarantined.
Contactless forms of payment encouraged
Debit machine will be wrapped in plastic wrap and sanitized between customers. We will only accept cash as a last option. Members use pre-issued fobs to enter the facility and therefore no contact is required when they enter. Drop ins will use a screen that is sanitized between all customers.
Providing hand sanitizer stations for patrons and encouraging their use
We have hand sanitizing stations in every room within the facility and are labeled with signage to emphasize their locations. We will also have signs promoting their constant use. Sinks are available in both change rooms and signage will be posted advising of recommended hand washing techniques.
We have always used hospital grade EP50 ECO clean which is listed as an approved disinfectant on Health Canada’s website. It is always used according to manufacturer’s directions. Every patron will have their own sanitizing bottle to clean all equipment before and after every use. This disinfectant will be also used by staff via manual cleaning and used in large sprayers.
All patrons will be provided a disinfectant in a spray bottle and paper towels for disinfecting equipment and surfaces
Disinfecting spray bottles will be provided to every member and drop in to minimize contact points presented by communal spray bottles. We will also have Disinfectant wipes available for use. Members will be required to wipe down the equipment with disinfectant wipes or paper towel & disinfectant before and after use. We have discontinued use of re-usable towels and cloths.
We have shut down and/or moved every other treadmill, elliptical, bike, and Stairmaster to ensure there is a minimum of 2 meters distance between them at all times. We are also strategically alternating which machines are open in rows so that the machine in front or behind is closed. All machines have been spaced out to ensure min 2 meter distance between them. ONLY ONE PERSON (or 2 if in same household with proof provided) are allowed in each YELLOW SQUARE. Some yellow squares have multiple machines in them BUT still only ONE PERSON (or 2 if in same household)
Encourage physical distancing and discourage congregating
Members will be encouraged to conduct their workout and exit the facility without unnecessary delay. Members will be advised of a time limit of 90 minutes during non peak hours and 75 minutes during peak hours; peak hours will be determined by staff members based on where our capacity limit is at any given time. Members will not be authorized to workout with others and advised not to socialize - SOLO WORKOUTS ONLY. Only one machine is allowed to be used at a time by a member - no supersetting machines unless within same yellow square. No Spotting will be allowed or touching of any kind. Exception will be if 2 people are within the same household and proof will be required.
Group classes: No group classes will be conducted during our initial re-opening phase
CHANGE ROOMS: NO LOCKER USE, SHOWERS, OR SAUNAS
OCCUPANCY limit posted on door to change rooms. Lockers, showers, and saunas will be CLOSED. Change rooms will only be used for toilets and sinks. There will be one-way traffic within the change room with taped markers on the ground advising where to wait if a line forms for toilets or sinks. Members will be advised to arrive in their workout attire. Members will only be permitted water bottles and a very small bag. NO DUFFEL BAGS OR BACKPACKS will be permitted.
Self-serve drink stations, water dispensers and water fountains CLOSED
All water fountains and self-serve drink stations will be closed. Members will be advised to bring their own filled water bottles or purchase a water bottle from us. Only staff will have access to the fridge and will retrieve purchases for the member to limit contact on the fridge.
SECOND LEVEL PROTECTION: BARRIERS AND PARTITIONS
• Barriers have been installed at Front Desk to limit contact between patrons and staff
• Barriers will be cleaned regularly
• All staff members and cleaners have been required to wear a mask throughout the facility
• All staff members and cleaners have been advised they must maintain a 2 metre distance from one another and members at all times
THIRD LEVEL PROTECTION: RULES AND GUIDELINES
• We have identified rules and guidelines for how workers should conduct themselves
• We have clearly communicated these rules and guideline to workers through a combination of training and signage

• MAX TWO PEOPLE are allowed to work-out together if in the same household. Proof must be shown at front desk prior to work-out
• MUST limit workout to 90 minutes during non-peak hours and 75 minutes during peak hours (Staff will inform you when you enter)
• NO SHOWERS, LOCKERS, OR SAUNA USE
o Change-rooms will be used for toilets and sinks ONLY
• NO BASKETBALL COURTS, SQUASH COURTS, OR GROUP CLASSES
• NO WATER REFILL STATIONS OR FOUNTAINS AVAILABLE
o Must come with a filled water bottle or purchase one upon entry
FOURTH LEVEL PROTECTION: USING PERSONAL PROTECTIVE EQUIPMENT
(optional measure in addition to other control measures)
• We have reviewed the information on selecting and using masks and instructions on how to use a mask.
• We understand the limitations of masks to protect the wearer from respiratory droplets
• We understand that masks should only be considered when other control measures cannot be implemented.
• We have trained workers in the proper use of masks
Measures in place:
• Staff will be provided with masks and gloves
• All staff members and cleaners have been required to wear a mask throughout the facility
• All staff members and cleaners have been advised they must maintain a 2 metre distance from one another
• Members will be encouraged to wear a mask; especially when entering the facility but it is not required
Reduce the risk of surface transmission through effective cleaning and hygiene practices
• We have reviewed the information on cleaning and disinfecting surfaces.
• Our workplace has enough hand washing facilities on site for all our workers. Hand washing locations are visible and easily accessed
• We have policies that specify when workers must wash their hands and we have communicated good hygiene practices to workers. Frequent hand washing and good hygiene practices are essential to reduce the spread of the virus.
• We have implemented cleaning protocols for all common areas and surfaces — e.g., washrooms, tools, equipment, vehicle interiors, shared tables, desks, light switches, and door handles. This includes the frequency that these items must be cleaned (number of times per day) as well as the timing (before and after shift, after lunch, after use).
• Workers who are cleaning have adequate training and materials.
RSF CLEANING PROTOCOLS
• RSF WILL HAVE CLEANING STAFF DURING ALL OPERATIONAL HOURS
• Further intensive cleaning will also be done throughout hours we are closed
• ALL MEMBERS are MANDATED to clean every piece of equipment before and after EVERY use
• We use HOSPITAL GRADE EP50 Eco clean
o This disinfectant will be in all spray bottles provided to patrons
• We will be using sprayers to disinfect higher touch areas and equipment during BOTH operational hours as well as when we are closed
• Our cleaning staff have all been at RSF for 2+ years and have a schedule/ list of items to clean already determined
o They have been communicated that high traffic areas/items need to be cleaned more regularly
- Washrooms – toilets and sinks
- Paper towel dispensers
- Door knobs
o Equipment will be cleaned before and after each use by members. Cleaning staff will consistently supplement this cleaning
Develop the necessary policies to manage your workplace, including policies around who can be at the workplace, how to address illness that arises at the workplace, and how workers can be kept safe in adjusted working conditions. Our workplace policies ensure that workers and others showing symptoms of COVID-19 are prohibited from the workplace
• Anyone who has had symptoms of COVID-19 in the last 10 days. Symptoms include fever, chills, new or worsening cough, shortness of breath, sore throat, and new muscle aches or headache. Anyone directed by Public Health to self-isolate.
• Anyone who has arrived from outside of Canada or who has had contact with a confirmed COVID-19 case must self-isolate for 14 days and monitor for symptoms.
• Visitors are prohibited in the workplace.
Our policy addresses workers who may start to feel ill at work. It includes the following:
• Sick workers should report to first aid, even with mild symptoms.
• Sick workers should be asked to wash or sanitize their hands, provided with a mask, and isolated. Ask the worker to go straight home If the worker is severely ill (e.g., difficulty breathing, chest pain), call 911.
• Clean and disinfect any surfaces that the ill worker has come into contact with.
Develop communication plans and training
You must ensure that everyone entering the workplace, including workers from other employers, knows how to keep themselves safe while at your workplace.
• We have a training plan to ensure everyone is trained in workplace policies and procedures.
• All workers have received the policies for staying home when sick.
• We have posted signage at the workplace, including occupancy limits and effective hygiene practices.
• We have posted signage at the main entrance indicating who is restricted from entering the premises, including visitors and workers with symptoms.
• Supervisors have been trained on monitoring workers and the workplace to ensure policies and procedures are being followed.
Monitor your workplace and update your plans as necessary
Things may change as your business operates. If you identify a new area of concern, or if it seems like something isn’t working, take steps to update your policies and procedures. Involve workers in this process.
• We have a plan in place to monitor risks. We make changes to our policies and procedures as necessary.
• Workers know who to go to with health and safety concerns.
Assess and address risks from resuming operations
If your workplace has not been operating for a period of time during the COVID-19 pandemic, you may need to manage risks arising from restarting your business.
• We have a training plan for new staff
• We have a training plan for staff taking on new roles or responsibilities.
• We have a training plan around changes to our business, such as new equipment, processes, or products
• We have identified a safe process for clearing systems and lines of product that have been out of use.
